One year countdown: Are Polish businesses ready for B2B electronic invoicing regulations?

In just under one year's time, Poland will kick-start it's mandatory business-to-business (B2B) electronic invoicing regulations.

Many businesses may think that one year is far away, and that the first wave of mandates may not include their size of business, but even the smallest of businesses will be affected. If large businesses have to switch their whole invoicing processes to digital, electronic methods in one year's time, will they also accept their smaller supplier’s paper invoice?

It’s time for Polish businesses to start looking at their invoicing processes, and to consider the steps they take over the next year.

Poland's upcoming mandates

Businesses in Poland may have had another six months to relax, as the original B2B mandates were due to start in January 2024, but this doesn’t mean all Polish businesses are prepared.

Current timelines and businesses in scope

  • 1st July 2024 - The mandate becomes mandatory for VAT registered taxpayers
  • 1st January 2025 - Taxpayers exempt from VAT to comply with KSeF

Poland, unlike many other countries, is not wasting time with their B2B mandates. Instead of a phased approach based on business size or taxable revenue, all VAT registered businesses in Poland must comply with B2B mandatory e-invoicing from the 1st of July 2024.

Businesses must create their electronic invoices in a FA XML format and must send all invoices through Poland’s central government platform, KSeF.
